Job Description:

The primary functions of the Access Management Supervisor are to assist the Access Management Manager with the daily operations of Outpatient Registration, 24-hour Admissions department and supervision of employees. Basic responsibilities include facilitation of daily work assignments; trouble-shooting problem patient accounts; detailed training and education for staff on core Access Management responsibilities, managed care policies, and system functionality; and participation in meetings with internal and external decision makers. The Supervisor should remain in full compliance with all departmental, institutional, and regulatory policies and procedures.

Dana-Farber Cancer Institute is opening a new outpatient cancer facility in January 2021 in Chestnut Hill. The new ambulatory center, located at 300 Boylston Street, Chestnut Hill, will provide much needed space for adult patient care to support our patient growth. Dana-Farber - Chestnut Hill will offer Clinical and Research Laboratory Services, Clinical Trials, Imaging, Infusion Services, Nutrition Support, Retail Pharmacy, Social Work, and Transfusion Services. This will be a multi-disciplinary, state-of-the-art facility designed to maintain the same model of care that is currently given to our patients on our Longwood Campus.

Job Location:

Training for this position will start at our Longwood campus (450 Brookline Ave), and will transition to Chestnut Hill after opening.

* Responsible for daily staffing of the Access Management Department including managing/covering shift hours, and monitoring use of overtime to adhere to the department's annual budget

* Work with department staff to complete daily workloads across the following core functional areas: pre-registration, floor registration, insurance verification, financial counseling, referral & authorization capture

* May act as the initial point of contact for problem patient accounts by working with staff to remediate issues and escalate accounts as appropriate for completion.

* Work directly with the RCIS team, and other IS teams, as needed, on Access Management issues.

* Oversees management of on-site health information requests and inquiries for patient health information when received by the patient or authorized individual

* Work directly with DFCI clinical partners such as BWH, Children's, Partners and network sites to collaborate on project work and problem solving as appropriate

* Collaborate with the Department Manager to identify areas for staff productivity and quality improvement and to arrange for appropriate staff refresher training

* Monitor staff compliance with all Access Management and DFCI policies including but not limited to attendance, punctuality, and diversity. Review insurance changes from Patient Accounting and Contracting for completion, accuracy, and questions; distribute approved updates to staff for daily execution

* Admissions

* Responsible for the 24-hour staffing of Admissions including managing/covering shift hours, and monitoring use of overtime to adhere to the department's annual budget.

* Oversee the admission of patients to the Dana-Farber inpatient hospital.

* Ensure staff verify patient identification, patient demographics, patient contacts, insurance information, PCP, & the Medicare Secondary Payer questionnaire with all Medicare Beneficiaries.

* Provide QA on staff completion of forms including the General and Financial Consent, the HIPAA Notice of Privacy Policy, the HealthCare Proxy, the Important Message from Medicare, the Patients Rights and Responsibilities, and the Plain Language Summary of Financial Assistance Policy.

* Manage the initial and follow up authorization process for all elective and urgent oncology admissions into DFCI and BWH hospital. Work with payer representatives to help resolve any issues.

* Contributes to the development of processes and procedures.

* Prevents admissions authorization conflicts by conferring with physicians/clinical team on admissions priorities.

On-site presence at Dana-Farber Cancer Institute Chestnut Hill campus location required.

Some direct contact with patients and/or visitors, and DFCI clinical and professional staff is required.

* Bachelor's degree

* 5 years of relevant scheduling and registration experience

* Prior supervisory experience preferred

* IDX /GE systems experience preferred

* Experience establishing and developing a new department within an organization preferred

Ability to supervise, counsel, train, and develop staff. Excellent customer service and communication skills, both written and verbal. Self starter with strong team player and leadership abilities to motivate staff and increase productivity. Strong analytical and problem solving skills. Outstanding project management and task prioritization abilities; ability to meet pre-determined deadlines. Advanced technical skills, as appropriate

Responsible for overall staff training on Epic functionality and enhancements. Responsible for tracking and maintaining high quality and productivity, providing in person feedback on a regular basis, including overnight and weekend staff. Assist Access Management Manager in supervising/prioritizing daily workloads, monitoring staff compliance with all policies and procedures, hiring, employee evaluations, and disciplinary actions in conjunction with the Department Manager.
